RULES OF THE ROAD

 

  1. Vehicle rental is limited to 30 days or less.

 

  1. Vehicle use is for approved University business only.

 

  1. Only qualified drivers (G License or equivalent) over the age of 25 that have valid/unrestricted drivers license are allowed to drive a short term rental. No other employees, friends or relatives, academic or business associates shall be allowed to operate the vehicle. See Guidelines with respect to drivers 21 to 24 years old.

 

  1. Drivers of the rental vehicle are restricted to the employee(s) that are registered or declared as drivers on the Rental Contract. A student or University volunteer that is accompanying the employee on a business trip is allowed to be added as a declared additional driver.  

 

  1. Ontario vehicle rental contracts must show or include Laurentian University as the “RENTER”.

 

  1. If using the Scotiabank Travel VISA Card, optional Collision coverage can be waived. Otherwise optional coverage must be purchased (see details in the Short Term Rental Procedures).

 

  1. Now more than ever, read the literature provided by the Rental Agency. If rental originates outside of Ontario (North America only), the driver must verify with the Rental Agency – DOES THE RENTAL AGENCY AUTOMATICALLY PROVIDE THIRD PARTY LIABILITY FOR THE RENTAL VEHICLE? AM I AS THE DRIVER PROTECTED BY THIS LIABILITY INSURANCE? If the answer is negative, optional liability should be purchased if the rental contract cannot specifically include the name of “Laurentian University”.

 

 

***Preferred Option in order to ensure coverage for the employee – when renting a vehicle on Laurentian University business, the employee must rent the vehicle under a contract that includes the name of Laurentian University as the actual Renter and pay with the Laurentian University Corporate card***
