According to the Freedom of Information and Protection of Privacy Act (FIPPA), the President of Laurentian University is the person responsible for both the administration of and decisions made under FIPPA at the University. The President must ensure that Laurentian complies with access provisions of FIPPA, and that personal information (PI) held by the University is accurate, up-to-date, and collected, used and disclosed only as authorized by FIPPA.

 

Pursuant to section 62(1) of FIPPA, the President has delegated these duties to the University Secretary, who is also Laurentian’s Information and Privacy Coordinator.

 

The Information and Privacy Office (IPO), established within the University Secretariat, is under the purview of the University Secretary. Working closely with the University Secretary are both the Records Officer, and the Executive Secretary. These three positions form the IPO. The IPO was created for the following purposes:

 

§        to process requests for access to information and to make decisions about disclosure

§        to help the University community comply with FIPPA, including but not limited to the dissemination of information to Laurentian’s staff and faculty about the statutory requirements for the protection of PI, and to offer advice for managing PI (collection, use, disclosure, retention, security, destruction), through consultations and training/education sessions

§        to provide guidance on how to request records held by the University

§        to provide guidance on how to request corrections to personal information contained in University records

§        to develop and implement policies, procedures and practices relating to:

§        handling and processing information access requests

§        privacy protection

§        the collection, use and disclosure of PI and retention, security and destruction of records containing PI

§        breaches of privacy
